Creating Email Forwarders & Aliases

Email forwarders and aliases let you automatically redirect messages from one address to another. They’re great for shared inboxes, role-based accounts (like info@ or support@), or retiring an old address while still receiving mail sent to it. Used correctly, they make managing your mail much easier — but they should be configured with care to avoid spam or delivery problems.

Creating a Forwarder or Alias in Webmail (Usermin):
1. Log in to Webmail at https://yourdomain.com:20000 using your full email address and password.
2. In the left-hand menu, click Mail to expand the options.
3. Choose Mail Forwarding and Replies.
4. Under the Forwarding section, check the box labeled Forward email to addresses.
5. Enter one or more destination addresses — for example, manager@yourdomain.com or team@yourdomain.com.
6. (Optional) Check Also deliver to this mailbox if you still want a copy kept in your inbox.
7. Click Save to apply your changes. Forwarding takes effect immediately.

Creating a Domain-Level Alias in Virtualmin (Admins Only):
1. Log in to your Virtualmin dashboard.
2. Select the domain from the drop-down menu at the top-left.
3. Go to Edit Users under the Virtualmin section.
4. Click Add Alias to this Server.
5. Enter the alias name (for example, sales) and choose the target mailbox from the drop-down list.
6. Click Create to finalize it. Mail sent to sales@yourdomain.com will now deliver to that user’s inbox.

Best Practices for Safe Use:
• Use forwarders primarily within the same domain (for example, from one @yourdomain.com address to another).
• Avoid forwarding all mail to external providers such as Gmail or Yahoo — this can cause SPF or DKIM validation failures and harm deliverability.
• If you prefer to view your messages in another mailbox (like Gmail), use that service’s “Check mail from other accounts” feature instead of forwarding.
• Keep the “Also deliver locally” option enabled until you’ve confirmed forwarding works as intended.
• Review your forwarding settings periodically to ensure mail is still routing correctly.

Disabling or Editing a Forwarder:
• In Webmail, return to Mail → Mail Forwarding and Replies and remove or change the addresses listed.
• In Virtualmin, go to Edit Users, select the alias, and click Delete Selected.
• Changes take effect immediately — no restart required.
